PARENT POLICIES
We schedule twice a year, once in Fall and once for Summer. Student tutoring sessions are then scheduled for either the entire school year, or the entire summer session respectively.
The scheduling request email for these sessions will be sent during our "open enrollment" period (early May, and early August).
If you are interested in scheduling a student outside of these enrollment windows, we will attempt to schedule you within 2 weeks of intake IF the schedule allows.
If we are fully booked, we will place your student on our waiting list.
Whenver possible, we want to give notice to families of changes to the schedule.
Unless there is an emergency, if our tutors ever need to cancel or reschedule a session due to a conflict, holiday, or other commitment, you will be notificed at least 72 hours before the scheduled session.
On occasions where outside circumstances (e.g. emergencies, technical issues with internet connection or equipment, or traffic) the Tutor and Ms. Violet will always attempt to inform Student and Parent by text/call as soon as possible.
If the Tutor is more than 5 minutes late for any scheduled session, they will reach out to the student first, but if they are more than 15 minutes late, they will contact parents directly.
If a tutor is more than 15 minutes late, student or parent may contact Ms. Violet or the SAVI admin team as the session may be subject to cancellation without any charge to the Student.
Our tutors are traing to support student academic development, critical thinking in academics, and subjects which are brought up in assigned readings. This means that sometimes, more delicate topics and conversations may arise.
Any time a tutor or member of the SAVI team brings up these sensitive topics, they are always in service of the student’s academic learning, it is done at the Tutor’s discretion and in consultation with the Parent.
Payment shall be made no later than two weeks after receiving your invoice. Payment may also be made in advance. Payment will be accepted in the form of cash, check, Zelle bank transfer.
The Student may cancel a session at least 72 hours before the scheduled time for any reason without any extra fee.
Sessions canceled with less than 72 hours notice will be subject to a cancellation fee* of half the price of the session.
In case of any emergency where a student does not have a chance to cancel the session beforehand, cancellation fees may be waived at Ms. Violet’s discretion.
*Prepaid student will see the cancelation fee noted in the next invoice as a "credit" for the student to use.
Ms. Violet, SAVI Admin, and individual tutors will respond to emails/text messages/calls within 48 hours. If you or your student have not received a reply within that time, it is assumed the message was not received.
You will receive occasional updates and information via the email newsletter which will be sent through SAVI Admin.
Any other contact, such as rescheduling or cancellations will go through SAVI Admin and the tutor.
Parents and Tutors will have regular contact to help facilitate student success.
We prefer that parents speak with thier tutor at the end of each session, or at a presecehdueld confernece time. We also send student update emails once a month.
For other forms of contact, or a change in frequency of updates, be sure to fill out the “Parent Contact Form.” appropriately.
Student or Tutors can stop/pause/or change the tutoring sessions and schedule no later than the 15th of the month in written form.
If notice of termination is given before the 15th the Tutor, Ms. Violet, and the Parent will decide to terminate or continue sessions until the end of the calendar month as appropriate.
If notice is given later than the 15th the Tutor will finish out the calendar month then terminate sessions.
STUDENT POLICIES
The Student agrees to have their homework done before the start of session. If homework has not been done for more than two weeks in a row, the Tutor may cancel the session with a cancellation fee applied. In the event that homework is continuously not done the Tutor can decide to terminate all sessions.
If the Student is sick, they or the parents should inform the tutor so accommodations can be made. In the event that the Student were to become sick while in a tutoring session the Parent will be contacted, and the session will end early.
The tutor will reschedule/accommodate the session if possible and at their discretion/availability.
If the students will be more than five minutes late for any tutoring session, they can inform their Tutor or Ms. Violet via text or phone call. If a student does not respond to that contact, the Tutor, and/or Ms. Violet will contact the Student and their parents/guardian to make sure the session is still taking place.
If the Student is 15 minutes late without notice, they will be considered as absent. Students can request a change of schedule on a week by week basis if the Tutor is available at requested new time. No notice of absence or change will result in a cancellation fee.

If any issue should occur regarding student behavior the tutor will inform parents first, then Ms. Violet. If necessary, Ms. Violet, the Tutor, and Parents can schedule a parent conference to further discuss strategies for resolving the issue and moving forward.
